QUALITY ASSURANCE DIVISION
GUIDELINES ON PROCEDURES

(1) Institutions to be visited by the quality assurance (QA) assessment team are encouraged to view quality assurance as a priority.

(2) The QA visit will only be undertaken once the institution has completed the self study. Adequate copies of the self-study report and database must reach the Quality Assurance Division at least THREE WEEKS before the visit.

(3) Each institution to be visited by a QA assessment team should appoint a liaison person, preferably a senior academic staff, to act as the key link between the institution and the QA team for the duration of the visit. The Dean should inform the Quality Assurance Division the name of the person designated to coordinate the visit.

(4) The Quality Assurance Division will contact the Dean/Liaison person about the plans and arrangement for the visit.

(5) The Dean/Liaison can arrange the tentative schedule for the visit and after mutual agreement with the QA Division and the QA assessment team, will inform all the relevant people (course coordinators, administrators, subject panels, students, etc) about the programme of visit.

(6) The Dean/Liaison will provide a "homeroom" for the QA assessment team equipped with or with access to a computer and printer compatible with the operating system used by the team's secretary.

(7) The institution will select student representatives and brief them on their role so that they may truly provide representative student input. Student's opinions will be sought regarding the quality and adequacy of the programme, academic and personal counseling, health service, financial aid and the students' role in providing feedback to institutional policy and services. Students will also be expected to serve as guides in the visits to the library, classroom, laboratories and other teaching-learning facilities.

(8) The institution will also select representatives of the academic staff and brief them on their role so that they may truly provide representative faculty input. Faculty's opinion will be sought regarding staff development, promotion and tenure, teaching skills, understanding of institutional goals, role in faculty governance, perceptions of the curriculum, students, the culture in the faculty and appropriateness of faculty facilities.

(9) The Dean's office should assist in making hotel reservation and ground transportation but will not be responsible for paying the expenses. Useful information such as the institution's bulletin, a city map, campus guide and instruction about transportation should be sent to the assessment team.
